Opening balances and physical corrections need more than a spreadsheet upload. They need validation, lot identity, traceable stock moves, and a controlled way to reverse mistakes.

Migration is an operational event

When an organization begins using a new stock system, opening balances are often treated as a one-time technical upload.

In reality, the imported data becomes the starting point for every later warehouse balance, processing order, ownership position, allocation, and shipment. It therefore needs the same care as a normal operational transaction.

The controlled stock import workflow creates structured receiving and lot records rather than inserting unexplained quantities directly into a balance table.

What the import can preserve

A prepared import can capture information such as:

  • lot number;
  • coffee type and product classification;
  • state, process, origin, grade, and crop year;
  • owner;
  • bag count;
  • gross and net weight;
  • warehouse destination;
  • remarks and source notes.

Validation helps identify missing classifications, duplicate lot numbers, unreasonable bag-to-weight relationships, and records that cannot be matched safely.

Bags and kilograms must agree with the business reality

Coffee stock is frequently discussed in both bags and kilograms. A usable migration must therefore preserve both measures and understand the bag size or unit behind them.

The system can check whether the recorded weight is plausible for the bag count while still allowing legitimate variation. This reduces the risk of starting with balances that look correct in one measure and wrong in another.

Physical count adjustment with history

A physical count may reveal a difference between recorded and actual stock.

The adjustment workflow records the correction as a traceable stock event rather than silently replacing the previous balance. This preserves the operational history and makes later investigation possible.

The goal is not to pretend the earlier balance never existed. It is to record that a count was performed, a difference was found, and an approved correction was made.

Cancellation and controlled rollback

Import and adjustment processes also need a safe reversal path.

Where permitted by the workflow state, the system can cancel or return the created stock records so that a faulty batch does not remain hidden in the database. A rollback should respect later use of the stock and should not remove history that other operations already depend on.

The exact import template and validation rules should be aligned with the organization’s coffee classifications, warehouse structure, ownership practices, and unit-of-measure rules during implementation.
